Workshop & Event Participation Terms

These Workshop & Event Participation Terms apply to workshops, seminars, lectures, webinars, educational activities and other events organised or offered by the Green Cloud Nine Community – Verein zur Förderung praktischer Nachhaltigkeitsbildung (referred to as the "Association", "we", "us" or "our").

They apply in addition to our Website Terms of Use and Privacy Policy.

Specific information provided for an individual event, such as the event date, location, participation fee, age requirements or special conditions, forms part of the applicable participation terms for that event.

1. Registration and Participation

Participation may require prior registration.

Where registration is required, a place is reserved only once the registration has been successfully completed and, where applicable, any required payment has been received.

Places may be limited. Where places are limited, registrations will generally be accepted in the order in which they are received, unless a different selection process is stated for the particular event.

We reserve the right to refuse or cancel a registration where this is reasonably necessary, for example because an event is fully booked, the participant does not meet an applicable age or participation requirement, or the information provided during registration is incomplete or inaccurate.

2. Free and Paid Events

The Association may offer both free and paid workshops and events.

Any applicable participation fee will be clearly communicated before registration.

Unless expressly stated otherwise, participation fees cover participation in the specified event only and do not include travel, accommodation, meals or other personal expenses.

For paid events, available payment methods and payment instructions will be provided during the registration process.

3. Payment

Where payment is required, the participation fee must be paid within the period specified during registration.

If payment is not received within the specified period, we may release the reserved place and make it available to another participant.

For events involving consumers, mandatory statutory rights remain unaffected.

4. Cancellation by the Participant

You may cancel your registration.

For paid events:

• Cancellation at least 7 days before the scheduled start of the event: the participation fee will be refunded in full.
• Cancellation less than 7 days before the scheduled start of the event: the participation fee will generally not be refunded.

This cancellation policy does not affect any mandatory statutory cancellation or withdrawal rights that may apply.

Where a refund is due, it will normally be made using the original payment method or another reasonable method agreed with the participant.

If you cannot attend an event, you may contact us as soon as possible. Where appropriate, we may allow another person to take your place, subject to the nature and requirements of the event.

5. Cancellation or Changes by the Association

We reserve the right to cancel, postpone, reschedule or make reasonable changes to an event where necessary, including because of insufficient registrations, illness, technical problems, venue issues, safety considerations or circumstances beyond our reasonable control.

If we cancel a paid event, participants will receive a full refund of the participation fee.

Unless otherwise required by law, the Association is not responsible for additional costs incurred by participants, such as travel, accommodation or other personal expenses.

Where reasonably possible, we will communicate significant changes or cancellations to registered participants using the contact details provided during registration.

6. Online Events

Some events may take place online using a third-party video-conferencing or communication platform.

Participants are responsible for having a suitable internet connection, compatible device and any software required to participate.

Technical problems on the participant's side do not normally entitle the participant to a refund, provided that the Association has made reasonable efforts to provide access to the event.

Where an online event is recorded, participants will be informed in advance.

7. Event Recordings

Some online or in-person events may be recorded for educational, documentation or communication purposes.

Where an event is recorded, participants will be informed before or during registration, as appropriate.

Where identifiable participants are intended to appear in recordings that will be published or otherwise used beyond the event itself, the Association will obtain any consent or rely on another appropriate legal basis as required by applicable law.

8. Photography at Events

Photographs or other visual material may be taken during Association events for documentation, reporting, educational or communication purposes.

Where photographs are intended for public use and identifiable participants are shown, the Association will use an appropriate legal basis and provide the information required under applicable data protection law.

Participants who do not wish to be photographed should follow the instructions provided at the event or contact the Association before or during the event.

We will make reasonable efforts to respect requests not to be included in identifiable photographs intended for publication.

Special care will be taken when photographing children and young people.

9. Children and Young People

Some events may be designed specifically for children or young people, or may permit their participation.

Any applicable minimum or maximum age will be stated in the event information.

Where parental or legal guardian consent is required, the participant may only take part once the required consent has been provided.

Parents or legal guardians remain responsible for children participating in events unless the event information expressly states that supervised participation is provided by the Association.

The Association reserves the right to require a parent or legal guardian to remain present where appropriate for the nature of the activity, the age of the participant or safety considerations.

10. Participant Conduct

Participants are expected to behave respectfully towards other participants, speakers, facilitators, organisers and venues.

Participants must not:

• engage in abusive, threatening, discriminatory or harassing behaviour;
• deliberately disrupt an event;
• damage property;
• record, reproduce or distribute event content without the required permission;
• misuse online meeting platforms or other event technology;
• engage in behaviour that creates a safety risk for themselves or others.

We may exclude a participant from an event where their behaviour seriously disrupts the event, violates these Terms or creates a safety risk.

In such circumstances, no refund will generally be provided, subject to mandatory statutory rights.

11. Educational Materials

The Association may provide participants with presentations, worksheets, guides, activities or other educational materials.

Unless otherwise stated, these materials are provided for the participant's personal or educational use.

Copyright and other intellectual property rights remain with the Association or the respective rights holder.

Materials may not be commercially reproduced, resold, substantially modified or distributed publicly without the required permission.

12. Educational Nature of Events

Our workshops and educational activities are intended to provide general information, practical knowledge and opportunities for learning and discussion.

They do not constitute professional legal, financial, medical, environmental, technical or other specialist advice unless expressly stated otherwise.

Participants are responsible for assessing whether information or activities are suitable for their individual circumstances.

13. Health, Safety and Practical Activities

Where an event involves practical activities, participants must follow reasonable safety instructions provided by the Association, facilitators or venue.

Participants should inform the organisers in advance of any relevant accessibility requirements or other circumstances that may affect their safe participation.

The Association may adapt or restrict an activity where reasonably necessary for safety or accessibility reasons.

Mandatory statutory liability remains unaffected.

14. Personal Data

The Association processes personal data relating to event registration and participation in accordance with applicable data protection law.

Depending on the event, this may include contact details, registration information, payment information, participation information and information relating to photography or recordings.

15. Accessibility and Special Requirements

We aim to make our activities as accessible and inclusive as reasonably possible.

If you have accessibility requirements or other needs that may affect your participation, please contact us before the event where possible so that we can assess whether appropriate arrangements can be made.

16. Changes to These Terms

We may update these Workshop & Event Participation Terms where necessary, including to reflect changes to our activities or applicable legal requirements.

The version applicable to your participation is the version communicated or published at the time of registration, subject to mandatory statutory requirements.

17. Liability

We take reasonable care in organising our workshops and events.

However, the Association cannot guarantee that every event will take place without interruption or that every activity will be suitable for every participant.

Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by applicable law.

Mandatory statutory rights and liability provisions remain unaffected.

18. Governing Law and Jurisdiction

These Terms are governed by Austrian law, excluding its conflict-of-law rules to the extent legally permissible.

For consumers, mandatory statutory consumer protection provisions and applicable jurisdiction rules remain unaffected.

Where legally permissible, the competent courts in Austria shall have jurisdiction over disputes arising from participation in Association events.
